Updates to the Online Application System

APR 14, 2014 - Online Application System: Remind your J-1 participants to complete their Evaluation Surveys

As our J-1 participants progress through their training programs and internships, we send email reminders asking them to complete various online evaluation surveys. These email reminders are sent not only to the J-1 participants, but also to the host organizations and the attorneys who filed their applications with the Council. Please expect to receive email reminders about the evaluations, and remind both the J-1 participants and their supervisors that it is important to fill out these surveys in a timely manner in order to fulfill regulatory requirements.


 

MAR 24, 2014 - Online Application System: Host Site Visit Fee NOT required for repeat host sites

Our online application system automatically applies host site fees to small host sites, but if we have already made a host site visit to the host site in the past, we do not need to visit again. What should you do if the small host site you are preparing a J-1 visa application for has already hosted a J-1 intern/trainee sponsored by the Council in the past? In this case, please email tharrison@immcouncil.org to get the fee waived, letting her know the name and address of the specific company and that it has already hosted J-1 intern/trainees sponsored by the Council in the past.


 

MAR 19, 2014 - Online Application System: Remind your clients to send the Council their Arrival Information

Please remind your clients who have been accepted to the program of the following information, which we include in the email we send to them upon acceptance:

Once you have the visa, please log in to aic-j1program.fluidreview.com to record your expected date of arrival in the US and expected start date for your training or internship program. You have a 30-day grace period to be in the United States before and after your official program dates for the purpose of settling in, traveling, or packing up, but not to train or intern. If you will be in the United States during the grace period, please check with us to make sure you are covered by insurance during that time.

Immediately after arrival in the US, please log in to aic-j1program.fluidreview.com to fill out the follow up information form and upload your DS-2019, I-94, J-1 visa and your insurance card (if you are not a member of our group insurance policy). We cannot activate your visa status in SEVIS (or your insurance coverage if you are a member of our group insurance policy) until we receive this information, so please submit it as soon as you can.

 


 

MAR 10, 2014 - Online Application System: Adding a J-2 Dependent after the J-1 has been issued form DS 2019

If you plan to add a J-2 dependent after the J-1 program participant’s DS-2019 has already been issued, email the Program Specialist who has been managing the application process and request to add a J-2 dependent. Make sure to include the name of the J-1 Trainee or Intern in the email request. The Program Specialist will update the case file so that the next time you log-in to https://aic-J1program.fluidreview.com, you will see a list of the documents and fee(s) you must submit in order for the American Immigration Council to issue form DS 2019 to the J-2 Dependent. The Council will send the DS 2019 to the J-2 Dependent directly by courier, so that once the J-2 Dependent has form DS 2019 and the supporting documentation, he/she may apply in person at the US Consulate.

FEB 10, 2014 - Your feedback and suggestions have been instrumental as we constantly seek to improve the digital application process. In order to better serve our clients who utilize the Online Application System, we have made the following changes:

  • We removed phone number validation from the Payment Information form so that foreign phone numbers can be accepted.
  • We changed the requirements for paying by check. Instead, they must now state the check number, date on the check, etc., select which items they are paying for within the form and print out the Payment Information form to mail in with their check. I have attached a screenshot of the new check requirements.
  • We have added some further clarifications to the instructions within the online payment form regarding how to submit payment. All fees must be paid by a check drawn on a US bank, a major credit card or a PayPal account. If you are paying by a credit card that is already associated with a PayPal account, you will have to ask the owner of the credit card to pay via PayPal or share the password with you. If you are paying by check, the final processing of your application will be delayed until the check arrives in our offices.
  • The host organization supervisor will receive a reminder email containing the terms of the agreement with AIC after the intern/trainee has informed us of the date of arrival in the US.

JAN 31, 2014 - Thanks for your suggestions in the Feedback on the Online Portal form of the online application. Your suggestions help us to improve the system and make it more convenient for applicants day by day.

One of the suggested changes that we have implemented is to add an automatic email notification that informs the lawyer as soon as the Host Organization Information and Intern/Trainee Essays and Declaration are completed. This helps the lawyer to stay in the loop and have the most accurate and up-to-date information about the application possible.

We have also implemented a more robust option for saving Host Organization Information, in case you submit multiple applications for the same company. Select “Yes” in the first question of the “Immigration Attorney Information” form, and you will receive an email with instructions on how to use this new feature. The instructions are also attached to this email.

If you have questions about the online application system, log in to your account at https://aic-j1program.fluidreview.com between 2:00 pm and 4:00 pm Eastern Time Monday to Friday to chat with us. Click on the box on the lower right corner of your screen that says “Chat with us.” Users of Internet Explorer might not be able to view the chat box. We recommend browsing with Mozilla Firefox or Google Chrome. We’re still available by phone and email, but chat helps us to help you resolve your issues and answer your questions on the spot. (No more playing phone tag!) We’re here to help!
